Attachments & Files
Messages about uploading, downloading, previewing, and deleting attachments. Most tell you exactly what to change about the file and let you continue immediately.

Uploading files
"This file format is not supported. Select a supported file."
- What it means: The file's type is not on the list of formats allowed here.
- What you can do:
- Convert or export the file to a supported format and upload again.
- If you are unsure which formats are allowed, your administrator sets the permitted file types — ask them, or check your organisation's guidance.
"File size exceeds the maximum limit of <size>."
- What it means: The file is larger than the maximum upload size shown in the message.
- What you can do:
- Reduce the file size — compress it, lower image/PDF resolution, or split it into smaller files.
- Upload the smaller file.
- Need a higher limit? The maximum is configured by your administrator; ask them if your work genuinely requires larger files.
"The file size must be larger than zero bytes."
- What it means: The file is empty (0 bytes) and cannot be uploaded.
- What you can do: Check the original file — it may not have saved correctly or may be a broken copy. Re-create or re-download it, then upload again.
"This file name contains characters that are not allowed. Rename the file and retry."
- What it means: The file name includes characters that are not permitted.
- What you can do: Rename the file using letters, numbers, spaces, hyphens,
and underscores; avoid symbols such as
\ / : * ? " < > |. Then upload again.
"You can upload up to <number> files at a time. Reduce the number of files and retry."
- What it means: You selected more files than can be uploaded in one go.
- What you can do: Upload the files in smaller batches within the stated limit.
"The file could not be uploaded."
- What it means: The upload started but did not finish.
- What you can do:
- Check your internet connection — large uploads are sensitive to drops.
- Confirm the file meets the format, size, and name rules above.
- Try again, ideally on a stable connection.
- If it keeps happening: Note the file name and size, the record you were attaching it to, and the date/time; take a screenshot. Start with your administrator.
Downloading files
"You do not have permission to download this file."
- See Permissions & Access. Ask your administrator for download permission, naming the file and its record.
"The files could not be downloaded."
- What it means: A download did not complete.
- What you can do:
- Check your internet connection and retry.
- Check that your browser is not blocking the download (look for a blocked-popup or blocked-download indicator in the address bar).
- Try a different supported browser.
- If it keeps happening: Note the file(s) and record, and report it to your administrator.
"No file was found or is no longer available."
- What it means: The file you tried to open or download no longer exists or was removed.
- What you can do: Refresh to confirm. If it should still be there, ask the record's owner or your administrator whether it was deleted or moved.
Previewing files
"A preview is not available for this file type. Download the file to view."
- What it means: This file type cannot be shown in the built-in preview.
- What you can do: Download the file and open it in the appropriate application on your device. This is expected behaviour, not an error.
"Failed to load file."
- What it means: The preview could not load the file's contents.
- What you can do:
- Close and reopen the preview, or refresh the page.
- Download the file instead and open it locally.
- Check your connection.
- If it keeps happening for a file others can open: report it with the file name and record. Start with your administrator.
"Thumbnail is not available."
- What it means: A small preview image could not be generated for this file. The file itself is usually fine — open or download it to view the full content.
Deleting files
"Failed to delete the following file(s):"
- What it means: One or more listed files could not be deleted.
- What you can do:
- Refresh to see the current state — some files may already be gone.
- Retry the deletion for the files still listed.
- Confirm you have permission to delete attachments on this record.
- If it keeps happening: Note the file names and the record, and report it to your administrator.
Empty states (not errors)
- "No attachments are available yet. Drop files here or select Browse." — there are no attachments; add one by dragging a file in or selecting Browse.
- "No image attachments are available." / "No images are available." — nothing to show in the image gallery yet.
