Saving & Editing Data
Messages you see while creating, editing, linking, or deleting records. Many are validation prompts that tell you exactly what to fix — these are helpful, not failures. Others are save/delete failures that are usually temporary.

Validation messages (fix and continue)
These appear before anything is saved. They are protecting your data from being saved incompletely or incorrectly.
"Some fields need attention. Select OK to view the details."
- What it means: One or more fields on the form failed validation.
- What you can do: Select OK. Protrak will show which fields need attention — usually highlighted with a specific reason under each. Correct each one, then save again.
"All required fields must be completed."
- What it means: A mandatory field is still empty.
- What you can do: Complete every field marked as required (often shown with an asterisk or highlight) and save again.
"<Field> is required." / "Title is required."
- What it means: That specific field must have a value.
- What you can do: Enter a value for the named field.
Validation messages usually appear right next to the field they refer to, with the exact rule that failed (a required value, a format, a length, or a range). Fixing the field clears the message immediately.
Save failures
"The <type> records could not be saved."
- What it means: Protrak accepted your changes but the save did not complete.
- When it appears: After selecting Save, typically for a grid or a set of records.
- What you can do:
- Check your internet connection.
- Make sure there are no remaining validation messages on screen.
- Try saving again. If only some records saved, re-check which ones still show unsaved changes.
- If it keeps happening: Note the record type and how many records, the date/time, and take a screenshot. Contact your administrator; if your data and permissions are fine, they will escalate to Protrak Support.
"An exception condition was encountered while processing the submitted action."
- What it means: A general failure occurred while saving or performing an action. See System & Unexpected Errors for the full guidance on this message.
- What you can do: Retry the action; if it persists, gather the diagnostic details and report it.
Linking, unlinking & promoting
"The new records were created but could not be linked."
- What it means: Your new records were saved, but the link to the parent record did not complete. Your data is not lost — the records exist.
- What you can do:
- Refresh the page to confirm the records were created.
- Try linking them to the parent record again manually.
- If it keeps happening: Report it with the parent record and the new records involved, so it can be investigated. Start with your administrator.
"Unlink Failed : …" / "Promote Failed : …"
- What it means: An unlink or promote action did not complete. Any detail after the colon comes from the server and describes the specific reason.
- What you can do:
- Read the detail after the colon — it often names the cause.
- Refresh and check the current state before retrying (the action may have partly completed).
- Retry the action.
- If it keeps happening: Screenshot the full message including the detail and report it to your administrator.
Reordering rows
"The rows could not be reordered."
- What it means: A drag-to-reorder did not save.
- What you can do:
- Refresh the page — the order shown after refresh is the saved order.
- Make sure reordering is not blocked by an active filter or sort, then try again.
- Confirm your connection is stable.
- If it keeps happening: Note the widget/record and report it. See also Worksheet Troubleshooting.
Deleting
"This item could not be deleted."
- What it means: The delete did not complete.
- Common reasons: The item is still linked to or in use by other records, its current state does not allow deletion, or you do not have delete permission for it.
- What you can do:
- Check whether the item is linked elsewhere and needs to be unlinked first.
- Confirm the item's state allows deletion.
- Retry.
- If it keeps happening: If you have delete permission and the item is not in use, report it with the record type and name/ID. Start with your administrator, who can also confirm your delete permission.
Losing unsaved changes (confirmation prompts)
These are warnings asking you to confirm, not failures. They protect you from losing work.
"You have unsaved changes to this '<item>' which will be lost. Are you sure you want to revert your changes?" / "You have unsaved changes which will be lost…"
- When it appears: When you cancel edits, navigate away, or close a form that has unsaved changes.
- What you can do:
- Choose to stay/keep editing if you want to save your work first.
- Choose to continue/revert only if you are willing to discard the changes.
If you meant to keep your work, cancel out of this prompt and use Save first. Reverting cannot be undone.
Filters & query builder prompts
"Please select a relation type in the last filter before adding another."
- What it means: You tried to add a new filter row before completing the previous one.
- What you can do: Choose a relation type in the current filter row, then add the next one.
"Select a query with parent filters to configure them." / "No results found."
- What it means: There are no parent filters to configure for the current selection, or your filter/search matched nothing.
- What you can do: These are normal states. Adjust your query or filter criteria if you expected results.
