Permissions & Access

These messages mean Protrak is working correctly, but your account is not allowed to see or do something. They are almost never a bug — they are decided by the roles and permissions your organisation has set up. The person who can change this is your administrator, not Protrak Support.

The quick answer

For every message on this page: if you believe you should have access, contact your administrator and tell them exactly what you were trying to do and which record, report, or file was involved. They can grant the access or explain why it is restricted.


"You do not have permission to view reports."

  • When it appears: When you open the reports area or a report widget.
  • What it means: Your role does not include access to reports.
  • What you can do: If you need reports for your work, ask your administrator to grant your role report access. Mention which report(s) you need.

"You do not have permission to view this content."

  • When it appears: When opening a record, widget, or page section your role cannot see.
  • What it means: The content exists, but it is restricted from your role.
  • What you can do: Ask your administrator whether your role should include this content. Provide the page name and, if you have it, the record type and name/ID.

"You do not have permission to upload files."

  • When it appears: In an attachments area when you try to add a file, or when the upload option is unavailable.
  • What you can do: Ask your administrator to grant upload/attachment permission for the relevant record type. See also Attachments & Files.

"You do not have permission to download this file."

  • When it appears: When you try to download or open an attachment.
  • What you can do: Ask your administrator to grant download permission. Tell them the file name and the record it is attached to.

"You do not have permission to view this geolocation."

  • When it appears: When opening a map/location view on a record.
  • What you can do: Ask your administrator whether your role should be able to view location information for this record type.

"Contact system administrator." (on its own)

  • What it means: A short prompt appended to another message, telling you the next step is with your administrator rather than something you can change yourself.
  • What you can do: Note the full message it appeared with (screenshot it), then contact your administrator with those details.

When an option is simply missing

Sometimes there is no error at all — a button, menu item, tab, or record just isn't there. This is usually a permission or configuration difference, not a fault.

  • What you can do:
    1. Refresh the page once, in case it was a temporary load issue.
    2. Confirm you are looking in the right place and, if relevant, have the right record selected.
    3. If it is still missing, ask your administrator whether your role is meant to have that option. Tell them precisely what you expected to see and where.

What to give your administrator

To get access sorted quickly, provide:

  • What you were trying to do (view a report, upload a file, open a record…).
  • The specific item — report name, file name, or record type and name/ID.
  • Your username and role, if you know it.
  • A screenshot of the message.

Your administrator can then either grant the access or confirm it is intentionally restricted. If they determine the permission is set correctly but the message still appears, they can raise it with Protrak Support using the diagnostic details.
