Notifications & Background Jobs
Some actions — exporting data, generating reports, promoting records — can take a while, so Protrak runs them in the background and reports progress in the notifications area (the bell icon). This page explains the messages you see there, especially when a background job fails.
How background jobs work
When you start a long-running action you will usually see:
"Request submitted successfully. Please check the status in the notifications."
This means your request was accepted and is now running in the background. You can keep working. The notifications area will then show the job move through:
- Started — for example, "Started exporting …", "Started generating report for …", or "Request for '…' submitted successfully. This can take several minutes. Please check after some time."
- Finished — a success entry, often with a Download link for exports.
- Failed — an error entry (see below).
If a job seems slow, open the notifications area rather than starting the action again. Repeating it can launch duplicate jobs and slow everything down.
Reading a failed-job message
Failed jobs appear as a short label describing what failed, followed by a colon and a detail from the server. For example:
"The report could not be generated : <server detail>"
The part after the colon is the most useful piece — it often names the exact reason (a timeout, a specific record, a validation problem). Always screenshot the whole entry, including that detail, before reporting it.
Common failed-job labels

| "<action> could not be completed for <type> <name>." | A promote (or similar) job failed for that record. |
| "Failed to promote" | A promote action could not be started or completed. |
What you can do
- Open the notification and read the detail after the colon.
- Retry the action.
- For exports/reports, try a smaller selection or date range.
- Check your internet connection.
If it keeps happening
Collect and share:
- A screenshot of the failed notification, including the server detail.
- What you were exporting/generating/promoting, and which record(s).
- The date and time.
Start with your administrator. If your data and permissions are fine, they will escalate to Protrak Support with these details. See What to collect.
The notifications area itself won't load
"An exception condition was encountered while processing the submitted action. Please click below to retry."
- What it means: The notifications list could not load.
- What you can do:
- Select the retry option shown with the message.
- Refresh the page.
- If it keeps happening: Report it with the date/time and a screenshot. Start with your administrator.
Empty state (not an error)
- "No new notifications." / "No messages are available yet." — you are caught up; there is nothing pending or unread. No action needed.
